Privacy policy for the Convertros career site and recruiting

Convertros, LLC ("Convertros", "we", "us"), 9040 Roswell Rd, Suite 550, Atlanta, GA 30350, USA, runs its recruiting through this career site and an applicant tracking system provided by Teamtailor. This policy explains what personal data we collect when you visit the site, connect with us, apply, or are referred to us, why we collect it, how long we keep it, and the rights you have.
Convertros is the data controller for the processing described here. Teamtailor processes data on our behalf as our service provider. Our account is hosted in Teamtailor's North America data region.
1. Who this policy covers
Visitors: anyone who browses the career site.
Connecting candidates: people who create a Connect profile to hear about future openings.
Applying candidates: people who apply for a role, on this site or through a job board that sends the application to us (for example LinkedIn or Indeed).
Sourced and referred candidates: people whose details we receive from a current team member, a partner, or a public professional profile because we think they may fit a role.
References: people a candidate names as a reference.
2. What we collect
From everyone: device and usage information (IP address, browser, pages visited, traffic source) as described in our Cookie Policy, and any communication you send us.
From candidates: your name and contact details; the answers you give in the application form, including written answers and short video answers; your resume, LinkedIn profile, and anything else you upload; notes and scores from interviews; recordings and transcripts of video interviews when you have agreed to recording; the times you book for interviews; and, if we make you an offer, the information needed to prepare the offer and, where you agree, to run a background check.
From references: your name, contact details, and what you tell us about the candidate.
We ask you to complete a short video answer as part of every application. That answer is reviewed by our recruiting team and is used only to evaluate your application.
3. Where the data comes from
Mostly from you: the form you fill in, the messages you send, the video you record. Some comes from the job board you applied through, from a team member who referred you, from your references, or from public professional profiles. Interview notes and scores are created by our team during the process.
4. Why we process it, and on what basis
We process candidate data to run our recruiting: reviewing applications and video answers, contacting you, scheduling and holding interviews, checking references, preparing offers, and improving how we hire. For most of this our legal basis is our legitimate interest in hiring the right people, and, once an offer is on the table, the steps needed to enter an employment or contractor agreement with you.
We ask for your consent before recording an interview, before running a background check, and before keeping your profile for future roles beyond the current process. You can withdraw consent at any time (section 8).
We use the site analytics described in the Cookie Policy only if you accept analytics cookies.
Convertros recruits on skills and merit. We do not make hiring decisions based on race, color, religion, sex, sexual orientation, gender identity, national origin, age, disability, or any other status protected by applicable law.
5. Text messages
If you give us a mobile number, our recruiters may text you about your application from +1 866-657-1154. Message and data rates may apply. Reply STOP to any message to stop receiving texts; that will not affect your application.
6. Who we share it with
Teamtailor, which hosts the career site and applicant tracking system.
Video meeting and calendar providers used to hold interviews (Microsoft Teams, Teamtailor Video).
Background check providers, only after you have received an offer and given written authorization.
Our own team members involved in the hiring decision.
Authorities or parties to legal proceedings when the law requires it.
A buyer or successor if Convertros is sold or merged.
We do not sell personal data.
7. International transfers
Convertros operates from the United States and hires people in the US, Canada, and other countries. Your data is stored in Teamtailor's North America region and is accessed by our recruiting team, some of whom work outside the US. Where the GDPR or UK data protection law applies to you, transfers rely on the EU-US Data Privacy Framework, the UK extension to it, or the EU standard contractual clauses, as applicable.
8. How long we keep it
Visitors: analytics and security logs, up to one year.
Candidates who are not hired: for the role you applied to and for future roles that may fit you, for 12 months from your last activity with us, unless you ask us to delete your data sooner or you renew your consent when we ask.
Connect profiles: for as long as your profile stays active.
Candidates who are hired: your candidate file moves into your employment record and is covered by our employee privacy notice.
References: as long as we keep the candidate's file.
Data needed to defend a legal claim: until the matter is closed.
9. Your rights
You can ask us to tell you what data we hold about you, to send you a copy, to correct it, to delete it, to stop using it for a particular purpose, or to transfer it to you in a machine-readable form. You can withdraw any consent you gave. Where legitimate interest is our basis, you can object.

If you are in the EU or EEA you can complain to your national data protection authority (listed at https://edpb.europa.eu/about-edpb/about-edpb/members_en). If you are in the UK, the Information Commissioner's Office (https://ico.org.uk). If you are in Canada, the Office of the Privacy Commissioner of Canada (https://www.priv.gc.ca). If you are in a US state with a privacy law that gives you rights over this data, you can exercise them through the same channels above; we will not treat you differently for doing so.
